This policy explains how we collect, use, disclose, store and protect personal data when you visit our website, contact us, book a consultation, communicate with us or engage our services.
This policy applies to personal data handled by Finnex in connection with its advisory and consulting activities. A signed client agreement may contain additional confidentiality or data-handling terms for a particular project.
Depending on how you interact with us, we may collect:
Your name, job title, employer, business contact details and information submitted through our website, chatbot, booking forms, email, telephone, WhatsApp or other communication channels.
Information about your company, business objectives, challenges, intended markets, funding needs and other matters you choose to discuss with us.
Appointment details, correspondence, meeting notes and, where you agree to recording, audio or video recordings, transcripts and summaries.
Information supplied for an engagement, which may include financial, employment, ownership, operational, sustainability or other project records containing personal data.
Billing information, invoice details, payment status and transaction references. Card payment details are handled through the relevant payment service providers; Finnex does not need your full card number to manage an appointment.
Technical information associated with use of our website, such as device, browser, IP address and website activity, where collected through cookies or similar technologies.
Please provide personal data about another person only when you are authorised to share it with us for the relevant purpose. If an engagement requires information about employees, customers or other individuals, we will discuss appropriate collection and sharing arrangements with the client.
We collect personal data directly from you when you contact us, complete a form, book a meeting, make a payment, speak with us or provide documents. We may also receive information from your company, an authorised representative, a referral partner, a project collaborator or publicly available business sources where relevant to an enquiry or engagement.

Arrange, conduct and follow up on introductory calls, paid diagnostics and project meetings.
Understand a client’s situation, develop advice, prepare proposals and deliver agreed consulting services.
Communicate with clients, their authorised representatives, project partners, lenders, financial institutions or relevant agencies where needed for an authorised engagement.
Manage appointments, payments, invoices, refunds, client records and our business operations.
Maintain the security and proper functioning of our website and systems, and investigate errors, misuse or suspected fraud.
Meet applicable legal, regulatory, accounting and record-keeping requirements.
Send service updates or marketing communications where permitted and where you have not opted out.
We will not treat an enquiry about a grant, loan or other service as permission to submit an application or disclose your confidential project documents to a lender, agency or prospective business partner. Those steps will be discussed as part of the relevant engagement.
We may propose recording a virtual or in-person consultation to prepare accurate notes and follow-up work. This may involve recording directly with a meeting or recording tool, or capturing audio first and later uploading it for transcription.
We will ask for your agreement before recording begins. If you prefer an unrecorded meeting, tell us before the conversation starts and we will take written notes instead. If other people join a meeting you arrange, please inform them that recording is proposed and give them the opportunity to raise any concern before it begins.
Where recording is agreed, we may use transcription, summarisation and other AI-assisted tools to prepare internal consultation notes, identify action items and support our work. These tools may include providers such as Plaud, Fireflies.ai, Zoho and other providers selected for a specific workflow. Relevant information may be processed by those providers and their service providers, potentially outside Singapore.
AI-generated transcripts and summaries can contain mistakes. Finnex reviews material outputs before relying on them for advice, proposals or client deliverables. A meeting recording or AI summary is not, by itself, Finnex’s final professional advice.
We may share personal data, to the extent needed for the relevant purpose, with:
Technology providers that support our website, communications, scheduling, CRM, document storage, transcription, AI-assisted work and payment processing.
Consultants, associates, professional advisers and delivery partners working with Finnex on an authorised matter, subject to appropriate confidentiality arrangements.
Lenders, financial institutions, prospective commercial partners, government agencies or grant administrators when sharing is part of an engagement you have authorised.
Regulators, public authorities or other parties where disclosure is required or permitted by law.
We do not sell personal data. We do not publish identifiable client information, meeting recordings or case studies without appropriate permission.
Our booking services may use Zoho Bookings, Zoho Checkout and a connected payment provider such as Stripe. These services process information needed to reserve an appointment, collect payment and communicate its status to Finnex.
The booking page or payment provider may also present its own privacy notice or terms. Questions about cancellation or refunds are governed by the terms presented for the relevant booking or agreed engagement.
If you enquire about a service, we may contact you to respond and follow up on that enquiry. We may also send Finnex news, insights, event information or service updates where permitted.
You can ask us to stop marketing communications at any time by replying to the message or contacting us at the address below. We will continue to send communications necessary for an existing booking, transaction or engagement. Our use of telephone numbers for marketing is subject to applicable Do Not Call requirements.
Our website and connected services may use cookies or similar technologies to operate pages, remember preferences, support forms and bookings, and understand website usage. Third-party features embedded in the site may also use their own cookies or similar technologies.
You can manage cookies through your browser settings and, where provided, the website’s cookie controls. Blocking certain cookies may affect the operation of some website features.
We take reasonable administrative, technical and physical measures to protect personal data against unauthorised access, use, disclosure, alteration, loss or disposal. Access is limited according to the work that needs to be performed.
We retain personal data only for as long as needed for the purposes described in this policy, an ongoing engagement, legitimate business record-keeping, dispute resolution or applicable legal requirements. Retention periods differ by record type. When information is no longer needed, we will take reasonable steps to delete, anonymise or otherwise dispose of it securely.

Some of the service providers, collaborators or recipients involved in an authorised engagement may process or store information outside Singapore. Where the Personal Data Protection Act 2012 requires it, Finnex will take steps to ensure transferred personal data receives a standard of protection comparable to that under the Act, or rely on another permitted basis for the transfer.
